Gmail has some great features that you can use.

Email is actually about Gmail, Google’s email service. While everyone is using this productivity-rich service, many of Gmail’s great features are unused.

In this post, we’ll take a look at some useful features of Gmail that will enhance your Gmail experience. Most of the features mentioned require a computer. However, you can also use the computer version of Gmail on mobile using the desktop mode of the Chrome browser.

You may need to enter your Gmail settings to use the features shown in this post. Gmail settings access rules:

  • Log in to gmail.com
  • If you are not logged into your Gmail/Google account, log in.
  • Then click the settings icon next to your profile picture in the upper right corner.
  • Then click the View All Settings button.

Email not sent

Gmail has an unsend feature after sending an email. You can cancel sending an email for up to 5, 10, 20, or 30 seconds after sending it. To set up this feature:

  1. Enter your Gmail settings
  2. Select the General tab.
  3. If you cancel Send, you will see options.
  4. Emails can be canceled within 1 second of sending an email of your choice of 5 seconds, 5 seconds,
  5. 10 seconds, 20 seconds, or 30 seconds.
  6. The next time you send an email, you can click the “Cancel” option on the screen to not send sent messages until a selected time.

Import emails from other email websites
Assuming you have multiple email accounts, you can receive emails from any mail account in the same account. To turn on the feature:

Enter your Gmail settings
Click the Accounts & Imports tab.
Click Add Email Account next to Check Emails from Other Accounts to add the desired email account.
You can add emails from up to 5 email accounts to your Gmail account.

Smart search using search operators
Search operators are specific search tags for searching in Gmail. Some common search operators can use:

  • A search for “subject: dinner” will find emails with the word dinner mentioned in the subject line.
  • A search for “has: YouTube” will return mail containing YouTube videos.
  • A search by typing “is: unread” will display all unread messages.
  • A search by typing “dinner -movie” will find mail where you ate dinner but didn’t mention the word movie.

Gmail add-on
Gmail may have access to third-party add-ons. You can use these add-ons to enhance the capabilities of Gmail and add new features. Enter your Gmail settings, select the Add-ons tab, then click Manage to see Google Workspace Matchplace for add-ons. Add-ons can be added to Gmail by searching here or by selecting them from the side hamburger menu.

Gmail preview panel
Gmail can check your emails without leaving your inbox. Attached to the side of your inbox, this email preview pane offers several benefits for faster email browsing. To turn this feature on:

Enter your Gmail settings
Select the Inbox tab
Turn on Reading Pane settings
You can also choose where the preview panel appears below the Reading Pane Position text.

Email calendar
Email scheduling is a very important feature of Gmail. Scheduling emails from both mobile and computer is very easy.

Remove unnecessary tabs
By default, Gmail has tabs like Basic, Social, Promotions, Updates, Forums, and more. However, you can remove extra tabs quite easily if you don’t need them. To manage your Gmail tabs, follow these steps:

Enter your Gmail settings
Select the Inbox tab
Then uncheck the tabs for categories you don’t need.
personal level indicator
You can use the person level indicator feature to see if an email has just been sent or if it’s been sent to your entire email list. To turn this feature on:

Enter your Gmail settings
Click the General tab
Check the empty box of Show Indicators next to Personal Level Indicators.
When this feature is turned on, a single arrow (>) appears next to the email. You can assume that this email has been sent to you and many others.

Again, if you see a double arrow next to an email, you should understand that this email was sent only to you.

Give others access to your account
Sometimes you may need to share your Gmail account with others. However, you do not need to share your account login ID or password to share your account. If you wish, you can give other Gmail users access to your account. This person can read, send, and delete Gmail messages.

To grant access to your Gmail account without sharing your password with anyone

  • Enter your Gmail settings
  • Click Account & Import.
  • Grant access

Add another account next to the account and you can access Gmail from any email you want.
Gmail desktop notifications
Emails in Gmail have notifications on your computer. To turn this feature on, first, enter your settings and choose what kind of notifications you want to receive from the options next to desktop notifications. Click here to enable desktop notifications for Gmail and a pop-up will appear. Allowing will turn on Gmail notifications for your computer.

Gmail theme
If you want to give your Gmail a nice and unique look. After entering your Gmail settings, select a theme and click the Theme settings option, you will see many themes for Gmail. You can also upload your image to use as a Gmail wallpaper.

Change the number of emails displayed in your inbox
50 emails displayed on your computer at the same time. However, you can increase or decrease the default number of emails if you wish. To change the number of emails displayed by default:

  • Enter your Gmail settings
  • Click the General tab
  • Next to Maximum page size, select the number of emails to display per page from the drop-down
  • displayed in Show conversations per page.
  • It is your choice among the features of Gmail mentioned above.
